Overview

The Operations Specialist is a vital member of i3’s Corporate Operations team, reporting to the Operations Manager. This hands-on role focuses on the execution of day-to-day business operations and administrative support for assigned business units. The Operations Specialist ensures smooth coordination of activities across teams, events, and corporate functions, enabling the Operations Manager to focus on strategic priorities.

Responsibilities

  • Support the planning and execution of daily business operations for assigned business units
  • Assist with the preparation and delivery of formal briefings, program reviews, finance reviews, and team meetings
  • Coordinate and support all-hands meetings, team engagement activities, professional development events, and smaller team gatherings
  • Provide logistical and administrative support for new hire onboarding, employee check-ins, training sessions, and leadership development activities
  • Serve as a point of contact for remote personnel, coordinating with on-site staff and corporate departments to address requests or resolve issues
  • Support procurement activities, indirect budget management, and cost-saving initiatives
  • Engage with corporate teams (Finance, HR, Recruiting, Security, Contracts, IT, Procurement, Facilities, Marketing, Proposals) to ensure smooth execution of day-to-day processes
  • Represent the business unit at industry days, tradeshows, and symposiums
  • Provide administrative support to include updating schedules and trackers, developing, and updating presentation slides, developing agendas and schedules, coordinating refreshments for various functions, and scheduling conference rooms
  • Provide backup support to the Operations Manager, representing them in meetings or events when required.

Qualifications

  • Bachelor’s degree preferred. Additional years of experience may be substituted for degree. 
  • Experience in the defense industry (desired).
  • Prior military base or on-site experience (desired).
  • Ability to obtain and maintain a Secret Clearance.
  • Willingness to travel up to 10%.

  • Proficiency with Microsoft Office Suite, including PowerPoint, Excel, and Teams
  • Strong written and verbal communication skills
  • Excellent organizational skills with attention to detail
  • Ability to multitask, prioritize effectively, and deliver accurate, timely results
  • Strong judgment, problem-solving ability, and relationship management skills
  • Ability to work independently while maintaining accountability in a fast-paced environment

  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
  • Regular i3 hours are 8:00 a.m. - 5:00 p.m. Monday-Friday, however, additional hours may be required on occasion. Regular and punctual attendance is required.
